Privacy Statement

Australian Iranian Society of Victoria (AISOV)

1. INTRODUCTION

The Australian Iranian Society of Victoria (AISOV) is a Victorian incorporated association committed to protecting the privacy and personal information of its members, website visitors, and event participants.

AISOV voluntarily adopts practices consistent with the Australian Privacy Principles (APPs) issued under the Privacy Act 1988 (Cth). As a small not-for-profit association, AISOV may not be legally required to comply with the Privacy Act (see the small business operator exemption under section 6D of that Act), but we believe good governance means treating your personal information with care and respect.

The Register of Members is subject to specific statutory protections under the Associations Incorporation Reform Act 2012 (Vic), in particular sections 58 and 59 of that Act. These protections apply regardless of whether the Commonwealth Privacy Act applies to AISOV.

This Privacy Policy is governed by the laws of the State of Victoria, Australia.

2. WHAT PERSONAL INFORMATION WE COLLECT

The types of personal information AISOV collects include:

  • Members: names, postal and electronic addresses, and dates of membership.
  • Website visitors: information submitted via contact forms, event registrations, newsletter sign-ups, or enquiry forms — typically your name, email address, and phone number (as applicable).
  • Cookies and analytics: non-identifiable usage data such as pages visited, browser type, and time spent on the site, collected via cookies or third-party analytics tools (for example, Google Analytics). Users may disable cookies through their browser settings.

AISOV does not collect sensitive information (such as health, religious, or ethnic information) unless it is specifically required for a particular program or event, in which case AISOV will seek your separate consent before doing so.

3. HOW WE COLLECT PERSONAL INFORMATION

AISOV collects personal information in the following ways:

  • Directly from you: through membership applications, event registrations, contact forms, email correspondence, or in person at AISOV events and activities.
  • From third parties: where an individual registers through a partner organisation or under an associate member arrangement recognised by AISOV.

4. WHY WE COLLECT PERSONAL INFORMATION

AISOV collects personal information only where it is reasonably necessary for one or more of the following purposes:

  • Administering membership and carrying out the Association’s functions.
  • Communicating with members and participants about events, programs, and activities.
  • Processing event registrations and responding to enquiries.
  • Sending newsletters and community updates (with your consent).
  • Complying with legal obligations under the Associations Incorporation Reform Act 2012 (Vic) and other applicable laws.

AISOV will not collect personal information unless it is reasonably necessary for one of these stated purposes.

5. USE AND DISCLOSURE OF PERSONAL INFORMATION

AISOV will not use or disclose your personal information except:

(a) for the primary purpose for which it was collected;
(b) for a directly related association purpose that you would reasonably expect; or
(c) where use or disclosure is required or authorised by law.

AISOV does not sell, rent, or trade personal information to third parties.

Personal information may be shared with:

  • Volunteers and committee members administering AISOV’s functions.
  • Third-party service providers (for example, website hosting and email platforms) who are bound by confidentiality obligations.
  • Government or regulatory bodies where required or authorised by law.

AISOV promotes Advertised Programs that are run independently of AISOV. AISOV does not share member personal information with the operators of Advertised Programs without your consent.

Overseas disclosure: AISOV does not routinely disclose personal information overseas. Where overseas disclosure is likely (for example, through cloud-based service providers), AISOV will take reasonable steps to ensure the overseas recipient handles the information consistently with the APPs.

6. THE REGISTER OF MEMBERS

AISOV maintains a Register of Members as required by the Associations Incorporation Reform Act 2012 (Vic). The Register is held by the Secretary.

Access to the Register is permitted only to the extent authorised under AISOV’s Constitution (Rules 18 and 75). Access may be refused where disclosure would reveal confidential, personal, employment, commercial, or legal matters, or would otherwise prejudice the Association — consistent with section 59 of the Act.

Any improper use of the Register is prohibited and constitutes an offence under section 58 of the Associations Incorporation Reform Act 2012 (Vic).

Members may at any time request that access to their details in the Register be restricted. Requests should be directed to the Secretary in writing.

7. DATA SECURITY

AISOV takes reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, or disclosure.

Electronic records are stored on password-protected systems. Physical records are stored securely.

Where personal information is no longer needed for any purpose for which it was held, AISOV will take reasonable steps to destroy or permanently de-identify it.

8. ACCESS AND CORRECTION

Members and individuals may at any time request access to, or correction of, their personal information held by AISOV.

Requests should be directed to the Secretary in writing. AISOV will respond within a reasonable period.

In limited circumstances permitted by law, AISOV may decline access. Where access is declined, AISOV will provide reasons for the refusal.

9. COOKIES AND WEBSITE ANALYTICS

AISOV’s website may use cookies to improve user experience and to collect non-identifiable analytics data about how visitors use the site.

Cookies do not identify you as an individual. You may disable cookies through your browser settings, though doing so may affect some website functionality.

AISOV may use third-party analytics services (for example, Google Analytics). Those providers operate under their own privacy policies, which govern how they collect and use data. We encourage you to review those policies independently.

10. THIRD-PARTY LINKS AND ADVERTISED PROGRAMS

AISOV’s website may contain links to third-party websites, or may promote Advertised Programs that are run independently of AISOV. All Advertised Programs are operated independently and are not endorsed, overseen, or managed by AISOV.

AISOV is not responsible for the privacy practices of third-party websites or program operators. We encourage you to review the privacy policies of any external sites or programs directly.

AISOV does not endorse or verify the content of Advertised Programs. Whilst AISOV uses reasonable efforts to carry out preliminary risk assessments, AISOV does not warrant the accuracy, completeness, or suitability of Advertised Program content for any purpose. Attendance at, or reliance on, any Advertised Program is at the individual’s own risk.

11. COMPLAINTS

If you believe AISOV has mishandled your personal information, please contact the Secretary in writing in the first instance. AISOV will investigate your concern and respond within a reasonable period.

12. CHANGES TO THIS POLICY

AISOV may update this Privacy Policy from time to time to reflect changes to our practices or applicable laws. The current version will always be available on AISOV’s website. Continued use of the website following any update constitutes acceptance of the revised policy.
